Customizing Your Workspace

The workspace in Livedocs is central to team collaboration and productivity. Customizing your workspace ensures that it reflects your team's identity and supports your workflows. This guide will walk you through the customization options available in the Workspace section of the Settings tab.

Workspace Information

The Workspace subsection allows you to personalize key aspects of your workspace, making it visually identifiable and functional for team members.

Updating the Workspace Name

To set or update your workspace name:

  1. Navigate to the Settings tab and open the Workspace section.
  2. Click the Workspace subsection.
  3. Enter the new name for your workspace in the Workspace Name field.
  4. Click Save to confirm the changes.

To personalize your workspace with a logo:

  1. Click Change Logo in the Workspace Logo field.
  2. Select an image from your device and confirm the upload.
  3. Once uploaded, the logo will appear in the Workspace Logo field.
  4. Click Save to persist the changes to your workspace.

Once saved, your updated workspace logo will also be reflected in the Workspace Dropdown.

Ensure you click Save after updating or removing your workspace logo. Without this step, your changes will not be applied.

Accessing the API Key

The workspace API key is essential for integrating Livedocs with external tools and systems.

To access your API key:

  1. Locate the API Key field.
  2. Click the link button next to the field to securely copy the key. 1-workspace-subsection-api-key
  3. Use the key in integrations as required, ensuring it is kept secure and not shared publicly.

Managing Team Members

The Members subsection lets you manage existing members and invite new ones in your workspace.

Adding Team Members

To invite new members:

  1. In the Members subsection, click Invite member.
  2. In the Add your teammates dialog box, enter the email address of the person you want to invite and specify their role in the workspace. 2-members-subsection-new-member
  3. Click Send invite by email. The invitee will receive an email with instructions to join the workspace.

Configuring Destinations

Destinations allow you to set up integrations for automated reports and updates, ensuring that your team stays informed.

Setting Up a Destination

To configure a new destination:

  1. In the Destinations subsection, click Connect to Slack workspace.
  2. Authorize Livedocs to access your Slack account via OAuth.
  3. Select the Slack workspace and channel where you want updates to appear.

Managing Billing Information

The Billing subsection lets you view and update your workspace's billing details.

Updating Payment Methods

To update your payment method:

  1. In the Billing subsection, locate Payment method.
  2. Click + Add Card.
  3. In the Update payment method dialog box, enter your credit card information. 4-billing-subsection-add-payment-method
  4. Click Update payment method to save your changes.

Switching to a Paid Plan

To upgrade from a free plan to a paid one:

  1. In the Billing subsection, locate Upgrade to Pro.
  2. Click the Upgrade to Pro ↗ link.

Accessing Billing History

To review past transactions:

  1. In the Billing subsection, locate Billing History.
  2. View invoices, including their date, status, and amount paid.
  3. Navigate between batches of invoices using the Previous and Next buttons.
  4. Click Download to obtain a PDF copy of an invoice if needed.

Best Practices for Workspace Customization

  • Regularly update the workspace name and logo to reflect your team's branding or focus.
  • Assign appropriate roles to team members for clear responsibility and security.
  • Configure destinations to automate reporting and notifications for improved collaboration.
  • Review billing details periodically to ensure accuracy and avoid interruptions.
